Booking Terms & Cancellation Policy

At Heritage & Bear, we aim to create seamless and memorable experiences for every guest. Please take a moment to review the following booking terms before completing your reservation.

Booking Confirmation

Your booking is confirmed once payment has been successfully received and you have received a booking confirmation email from Heritage & Bear.

All bookings are subject to availability.

Please ensure all guest details provided during booking are accurate, including contact information, dietary requirements and any accessibility needs.

Payments

Full payment is required at the time of booking unless otherwise stated.

Prices displayed are per person and include the elements detailed within the individual experience package.

Cancellations & Refunds

As our experiences include theatre tickets, dining reservations, entertainment and third-party supplier arrangements secured specifically for each booking, the following cancellation terms apply:

  • Cancellations made more than 30 days before the event date may be eligible for a full refund.

  • Cancellations made within 30 days of the event date are non-refundable, as tickets and experience elements may have been purchased, allocated or committed on your behalf.

  • Once theatre tickets, dining reservations or other third-party elements have been secured for your booking, these may become non-refundable and non-transferable.

  • Failure to attend the experience or late arrival will be treated as a cancellation and no refund will be issued.

Heritage & Bear may, at its discretion, assist with guest name changes or ticket transfers where operationally possible; however, this cannot be guaranteed.

Ticket Transfers & Name Changes

Where possible, Heritage & Bear may accommodate ticket transfers or guest name changes.

Requests must be submitted in writing and cannot be guaranteed.

Additional charges may apply where third-party suppliers charge amendment fees.

Seating Information

Where theatre tickets are included as part of an experience, seating is allocated within the area specified at the time of booking.

Specific seats cannot be selected or guaranteed unless explicitly stated.

Should you have accessibility needs or preferred seating requests, please contact us and we will do our best to assist.

Accessibility & Dietary Requirements

We strive to create inclusive and enjoyable experiences for all guests.

Please notify us at the time of booking of:

  • accessibility requirements

  • mobility considerations

  • dietary requirements

  • allergies

  • any support requirements

While we will always aim to accommodate requests, some services are delivered by partner venues and suppliers and therefore cannot always be guaranteed.

Experience Content & Venue Information

Some experiences may contain age guidance, content advisories, lighting effects, loud sound, theatrical haze, pyrotechnics or other production elements.

Guests are responsible for reviewing all experience information before booking.

Changes to Experiences

Occasionally circumstances outside our control may require changes to timings, entertainment, venues, performers or other elements of an experience.

Where this happens, Heritage & Bear reserves the right to make reasonable substitutions or amendments while maintaining the overall quality and value of the experience.

Heritage & Bear Cancellation Rights

Should Heritage & Bear cancel an experience due to operational reasons, venue changes, supplier issues or unforeseen circumstances, guests will be offered:

  • an alternative date

  • a suitable substitute experience

  • a refund where appropriate

Force Majeure

Heritage & Bear shall not be liable for delays, changes or cancellations caused by circumstances outside our reasonable control including severe weather, transport disruption, government restrictions, venue closures, industrial action or other unforeseen events.

Photography & Marketing

Photography or video content may occasionally be captured during experiences for Heritage & Bear marketing purposes.

Please notify a member of the team should you prefer not to appear in any photography.
